Hampshire County Council are seeking a Family Time Coordinator

Contract Length: 3 months (rolling)

Rate: £23 (umbrella)

Overview
We are seeking a dedicated and compassionate Family Time Coordinator who is responsible for organising, scheduling, and overseeing safe, child‑focused family time sessions, ensuring compliance with care plans and supporting the emotional wellbeing of children and families.

Responsibilities

  • Receiving requests for supervised Family Time.
  • Confirming the arrangements to the social worker.
  • Making the necessary logistical arrangements to ensure all parties can attend Family Time.
  • Liaising with all parties to arrange appropriate transport for the children.
  • Adding details of the referral and arrangements to the children's records.
  • Recording the Family Time appropriately.
  • Informing all parties of the arrangements.
  • Assuring the Family Time is allocated to an appropriate supervisor and they are aware of their schedule.

The Family Time Coordinator must allow adequate time for the Family Time supervisor to read the referral and risk assessment, travel, and recording of the session. The Family Time Coordinator must ensure that Family Time Supervisors cover a reasonable number of sessions per week, dependent on hours per week worked, travel required to collect children and attend, and other commitments.

The Family Time Coordinator will also maintain a waiting list of Family Time referrals. This will be reviewed on a rolling basis. Due to the fluctuating nature of referrals and cases being worked by the Family Time Service and delay in social care process, it is not always possible to service all Family Time immediately. Cases on the waiting list will be allocated in chronological order, based on date of referral and the times requested.

Observation records will be regularly audited by Family Time Coordinators to maintain quality control and to ensure sheets are recorded in a timely fashion. Social workers will be given five working days to read and approve the observation record and will inform the Family Time Supervisor when read. The Family Time Supervisor will then make any amendments if required and declare document on ESCR. It remains the Family Time Supervisor's responsibility to ensure their observation sheets are returned from the social worker within time scales. If this remains a problem, they need to report this to their Family Time Coordinator.

  • Experience writing clear, factual, and detailed session observations.
  • Confidence handling sensitive information and maintaining GDPR compliance.
  • Experience managing schedules, coordinating staff rotas, or organising service delivery.
  • Ability to prioritise in a busy, fast‑paced environment.
